- What should our minutes include?
Use this check list for what the minutes should include:
- Full name and identity number of the association
- Date of the meeting (not older than 2 years)
- Board composition and roles
- Named representatives/authorised signatories and their mandates. The board can appoint one or several authorised signatories for the association who can either act individually or jointly. If two persons are named without any details on whether they can act individually or jointly, the bank will always assume that they act jointly. Please note: Any limitations, for instance regarding amounts and accounts, will not be taken into consideration. You add such limitations yourselves when you register users in Nordea Business.
- Physical signatures of chairman and secretary
- Physical signatures of 2 persons who have approved the minutes
- Certification of the minutes
- How do we upload minutes in digital form?
You can upload your documents here in Nordea Business. When you have clicked on "Send documents", select the category Association's documents.
- To what address should we send our minutes?
We recommend that you upload your association documents for faster processing.
If your association is unable to upload documents digitally, please call Nordea Business Centre. Together we will review the changes you want to make to your association’s products and services. Then we send new agreements via the postal service.
When the association signs and returns the documents to confirm the changes, the following documents should also be enclosed:
- Statues – the most recent statues adopted by the association.
- Minutes of the latest annual meeting – showing all board members elected.
- Minutes from constituent board meeting – showing the roles of board members as well as authorised signatories/representatives of the association.
- Copies of representatives’/signatories’ ID documents
If the association’s business with the bank is to remain unchanged, you just need to post a certified extract of the minutes to:

- Do we need to upload the minutes of our annual meeting?
We need updated information on the authorised signatories of your association. You need to send us the minutes of your annual meeting or constituent board meeting where this resolution is passed or decision taken.
Please upload these minutes even if there are no changes to the board, as minutes are valid for 2 years only. It’s really helpful for us to have valid minutes. It makes our interaction easier and allows us to take care of your business, including applications for new services and products, faster and more efficiently.
